What it is
How you split people into lists decides what you can see and call later. A list is the smallest piece you can report on, give its own voicemail, add to a campaign, or take out of one. So keep each list to one kind of person in one place, and use folders, tags and campaigns to group them.
Our recommendation: one list per subdivision, a folder per town, and campaigns built from the subdivisions you want to work together.
Where to find it
Lists in the left menu. Neighborhoods in the left menu for subdivision lists. Campaigns in the left menu to group lists for dialing.
Steps
- Save one area per subdivision. In Neighborhoods, type the subdivision name in the search box and pick it. That adds the subdivision as a filter so only its homes count. Draw around it, then name the area after the subdivision, for example Westhaven.
- Give each subdivision its own list. When you get phone numbers for the area and send them to a list, name the list the same as the subdivision. One subdivision, one list.
- Tag the list with its town and type. Click the list’s three dot menu, choose Tag, and add tags such as Franklin and Neighborhood. Expired, FSBO and sphere lists get their own type tag the same way.
- File lists into a folder per town. Click the New folder icon at the top of the Lists panel and make a folder for each town, or click Auto-organize and pick A folder per town, with type subfolders to build them from your tags in one go.
- Group subdivisions into a campaign. Open Campaigns, make a campaign such as Franklin farm, and on its Lists tab add the subdivisions you want to call together. To call a whole town, click Call this folder on the town’s folder instead. RealDialer builds that campaign from every list inside it.
- Check which subdivisions answer. Open List performance on the Lists page. Because each subdivision is its own list, you see conversations and appointments per subdivision and can drop the quiet ones from the campaign.
Good to know
- Many subdivisions in one campaign is the best default. The dialer keeps moving through all of them, so you spend less time switching. You still see each subdivision’s own numbers in List performance.
- One campaign for one subdivision makes sense when you farm that neighborhood hard, for example a monthly market update to the same 300 homes, and want its call settings and pace kept separate.
- Each list can have its own voicemail, so you can name the subdivision in the message (“I’m calling homeowners in Westhaven”) even when several subdivisions share one campaign. See Use a different voicemail on each list.
- The same list can sit in more than one campaign. Taking a list out of a campaign never deletes it or anyone on it.
- Don’t merge subdivisions into one big list. You lose the per-subdivision results and can’t drop one neighborhood without dropping them all.
- Leave Skip parcels I already saved on in Neighborhoods so a home that sits on two areas’ edges is only paid for once.
